WhatsApp follow-up message templates

Most deals are not lost, they are dropped. The lead asked a question, someone answered, and then nobody wrote again. These templates cover the follow-up moments that actually move deals: the day after an inquiry, the quote that got no reply, and the customer who went quiet.

Each template is written to sound like a person, not a campaign. Replace the {variables} with your details, trim anything that does not fit your tone, and send. English and Hebrew versions are included for every template.

First follow-up after an inquiry

When to use: A lead asked about your product or service and the conversation stalled for a day or two.

Hi {name}, following up on your question about {product}. I did not want it to get lost in your chats. Is it still relevant? If you have any open questions I am happy to answer them here, whatever is easiest for you. {your_name}

Quote follow-up

When to use: You sent a price quote and heard nothing back for a few days.

Hi {name}, I sent over the quote for {service} on {date} and wanted to check it reached you. If anything in it is unclear, or the price does not fit what you had in mind, tell me, there is usually room to adjust the scope. And if you went another way, no hard feelings, just let me know so I can close the file. {your_name}

Lead qualification

When to use: A new lead wrote in and you need the key details before you can quote or schedule.

Hi {name}, thanks for reaching out to {company}! So I can give you an accurate answer about {service}, three quick questions: 1. What exactly do you need done? 2. When would you like it to happen? 3. Is there a budget range you are working with? Answer here whenever convenient and I will take it from there.

After-meeting recap

When to use: Right after a call, viewing or meeting, while the conversation is still fresh.

Win-back for a quiet customer

When to use: A past customer has not ordered or been in touch for a month or more.

Hi {name}, it has been a while since we last worked together and I wanted to check in. How did things go with what you got from {company}? If there is anything you need now, or something we should have done better last time, I would genuinely like to hear it. {your_name}

Getting replies, not blocks

  • Follow up once, wait, then follow up again with new information (a price, an answer, an idea), never with "just checking in" twice in a row.
  • Reference the specific thing they asked about. A follow-up that could have been sent to anyone reads as spam.
  • Give a low-effort way out. "If the timing is wrong, tell me and I will stop" gets more honest replies than pressure.
  • Send during business hours. A follow-up at 23:00 feels automated even when it is not.
