On WhatsApp, service messages are read within minutes, which means a good first response defuses most situations before they grow. These templates cover the hard moments: the angry complaint, the delay that is your fault, the message that arrives at midnight, and the loop-closing check-in most businesses forget.

Complaint response
When to use: A customer writes in upset. Send this fast, before the full solution is ready.

When to use: Set as your automatic reply outside business hours, so nobody messages into silence.

Order status update
When to use: Proactive update when an order ships or its status changes. Prevents the "where is my order" wave.

Issue-resolved check-in
When to use: A day or two after a problem was fixed. Closes the loop and often turns a complainer into a fan.

Getting replies, not blocks
- Answer complaints personally even if the fix takes time. "I saw this and I am on it" within minutes beats a full solution tomorrow.
- Apologize for the impact, not just the event. "You waited and that is on us" lands better than "there was a delay".
- An after-hours auto-reply should say WHEN you answer, not just that you are closed.
- Close the loop. A two-line check-in after the fix is the cheapest loyalty move there is.
